You built the business. You shouldn't have to be the office.
Cai Operator runs the day-to-day of your business for you — the calls, the quotes, the scheduling, the invoices, the follow-ups. You keep your crews, your customers and your name on the door. You get your time back, and a business that's worth more because it no longer needs you in the chair every day.
What still lands on you?
Tick the ones that cross your desk in a normal week.
Be honest — it's usually more than you think.
Send me this listGood business. Too much of it runs through you.
Every quote, every schedule change and every unpaid invoice still comes through me.
If I take a week off, the phone goes quiet — or things go wrong.
We could take on more work. I'm the bottleneck.
Someone asked what the business is worth. The honest answer is: it depends on whether I stay.
None of that is a you problem. It's how most good service businesses are run — everything routed through the owner, because that's how it started. It's fixable, and fixing it is the whole of what we do.
We run the office. You keep the field.
There's a clean line between the work that has to happen at the customer's door and the work that happens at a desk. We take the desk.

- On-site visits: walkthroughs, inspections, the handshake
- The final say on anything big
Three steps, in this order.
We map your office.
We sit down with you and list every job that currently lands on you or your office staff — who does it, how often, and what it would cost to hire someone to do it. You get that list in writing. Free, no obligation.
We take it over, one piece at a time.
Usually starting with calls, quotes and scheduling. During setup we bring your phone line, texts and email into one place, so nothing is missed and everything is on record. Your customers notice nothing except faster replies. Behind the scenes the work is handled by us — a dedicated operator backed by well-built systems — and anything big still waits for your OK.
You watch it run.
You see what happened today, what's coming, and only the things that genuinely need you. Everything we do on your behalf is on record and can be explained, line by line.
Finished results — not hours, not activity.
Every result we're responsible for is defined in writing, with a standard we commit to. These are the five that matter most in a service business.
A new inquiry becomes a paid job.
From the first call to the money in your account — the quote, the booking, the work scheduled, the invoice paid.
A first-time customer is set up and reachable.
Their details captured and their preferred way of hearing from you confirmed, so nothing about them lives only in someone's memory.
Every booked job gets dispatched, done and closed out.
Crew confirmed, on their way, arrived, finished — each job, every time — and anything that slips is rescheduled or flagged the same day.
Every invoice goes out — and comes back paid.
Sent promptly, followed up politely, chased until it's settled.
A finished customer is booked for next time.
Because the cheapest new job is the one from someone who already trusts you.
If we get one wrong, we fix it at our cost — before you're charged for it. That's in the agreement, not just on this page.
Priced like the people you'd otherwise hire — for less.
We don't charge by the hour, per user, or for software. We take the list of office jobs we're taking over, price each one at what it would cost you to hire someone in your region to do it — sources shown — and set one flat monthly fee below that total. Typically 10–40% less than hiring the equivalent people, and you're never managing them.
Prefer to pay per finished job, or as a share of results? Those arrangements exist too. We'll show you both and let you choose.
What it guarantees you.
These are written into every agreement, for every business we run. They're there to protect you, and to keep the relationship simple.
- Everything in writing.
- The list of what we take over, what it would cost you otherwise, the fee, and the standards. No handshake deals.
- No surprise price changes.
- One review a year. Changes in scope are agreed in writing before they cost anything.
- Walk away with notice.
- 60 to 90 days' notice, no reason required. We keep working through the notice period and help you hand over.
- You approve the big decisions.
- You name a person — you, or someone you trust — who signs off on anything irreversible.
- A full record, always.
- Every job we handle on your behalf can be traced: what was done, who decided, and when.
- Your data is yours.
- Your customers, jobs and history come with you, in a form you can use, whenever you ask.
- Our mistakes are on us.
- If a result doesn't meet the standard, we fix it at our cost first.
- Your customers stay yours.
- Your name and your brand on every call, text and email. We're behind it, not in front of it — and every message is on record in one place.
Why the business becomes worth more.
A business that depends on its owner is hard to step away from and hard to sell. When the way your business runs is written down, followed every day, and doesn't live in anyone's head, three things change:
You can take time off.
A week away, or a month. The phones get answered and the jobs get booked either way.
You can grow without the office falling over.
Another location, another crew, another service line — the same office handles it.
A buyer or a bank values it on what it earns.
Not on whether you'll stay. That's the difference between a job you own and an asset you own.
It works this way today.
Halleluyah Its Clean is a residential and commercial cleaning company in Oakville, Ontario. Its owner used to run the office. Now he does the walkthroughs and the site visits, and the rest — inquiries, quotes, scheduling, dispatch, invoices, collections — is handled by Cai Operator.
That office is run by Douglas Owusu, the founder of Cai Operator, entirely remotely — from wherever in the world he happens to be, often a different time zone. The customers see one business and one name.
If an office can be run well from another time zone, it can be run well while you're at the cottage.
A good fit for some businesses. Not for all.
A good fit if
- You own a cleaning, rug and upholstery care, restoration, renovation, plumbing, electrical or HVAC business — in Ontario or beyond
- Your customers are happy with the work; the office is what holds you back
- You want to step back from the day-to-day without selling
- You'd like the business to be worth more in three years than it is today
Probably not if
- You want software to run yourself. We don't sell software; we do the work.
- You need someone physically on site every day. That stays with you, or a local person you trust.
- Your business is moving or transport. That kind of work runs differently, and we don't run it.
Straight answers.
Will my customers notice?
Only that replies come faster. Your business's name is on every call, text and email. During setup we bring your phone line and email into one place — keeping your existing number where it can be moved over — so nothing gets missed and everything is on record.
Is this software I have to learn?
No. You're not buying a tool; you're buying the work done. You'll have a simple way to see what's happening and to say yes or no when something needs you. That's it.
Is this AI?
Some of it. Part of the work is done by systems we've built, part by our operator, and the share done by systems grows over time. You pay for the finished result either way — your fee and your standards don't change as the mix behind the scenes does.
Do I lose control of my business?
No. You keep the decisions that matter, in writing: anything irreversible waits for your OK. The difference is that you're no longer the one doing everything else.
How soon does anything change?
Before we start, we agree in writing which jobs come off your plate first, and when. Inquiries, quotes and scheduling usually go first, because that's where the phone is.
What if it doesn't work out?
Give notice — no reason needed. We keep working through the notice period, hand everything over, and your customers, jobs and history come with you.
Let's map your office.
A free assessment, no obligation. We list what's on your plate today, what it would cost to hire it out, and what it looks like off your plate — in writing. If it's not a fit, you still walk away with the list.
Or email the team — tell us your business name and the best number to reach you, and we'll call.
